# Add a team member

> How a brand admin invites a colleague to a brand, what the two roles mean, and how to change a role or remove someone.

This guide shows you how to invite a colleague to a brand in the nebty dashboard, what the roles mean, and how to change a role or remove someone later. The red numbers in the screenshots match the numbers in each step. The people in the screenshots are sample data with example.com addresses.

## Before you start

- **You must be an admin of the brand.** Only admins see the **Members** entry in the sidebar. Everyone else who opens the Members page sees the notice “Only brand admins can view and manage members.” In that case, ask an admin of your brand.
- **The brand needs a free seat.** With active monitoring, brands on the Business and Unlimited plans have unlimited seats. Brands on the Free and Basic plans have one seat, and it is already taken. There, **Invite member** is greyed out, and its tooltip says that the seats are full and that you need to upgrade the plan. Brands without active monitoring, including brands used only for takedowns, have unlimited seats regardless of plan. A pending invitation also holds a seat until it is accepted, withdrawn or expired.
- **You need the colleague’s email address.** The invitation is tied to this address.

## Steps

1. **Open the Members page.** In the sidebar, open your brand and select **Members** (1). The page shows how many seats are used (2), for example “3 seats used · unlimited” or “1 of 1 seats used”. It also lists the current members and the **Pending invitations**. Select **Invite member** (3).

2. **Enter the email address and choose a role.** In the **Invite a member** dialog:

   - (1) **Email:** the address of your colleague.
   - (2) **Role:** **Member** is preselected. Choose **Admin** if the person should manage members too. See [Roles](#roles).
   - (3) Select **Send invitation**. A message confirms that the invitation was sent.

If the address is already a member, or already has a pending invitation, the dialog shows a message below the email field and sends nothing.

3. **Check the invitation.** The invitation appears under **Pending invitations**. It lists the email address (1), the role and the date it was sent. Use the bin icon (2) to withdraw an invitation, for example if you typed the wrong address. It disappears at once and the person can no longer use the link.

The **Role** column of this list shows the stored role name, so an invitation for the role Member reads **Viewer** here. It is the same role.

## Roles

A brand has two roles. You choose one in the invite dialog (1), and you can change it later.

![Open role list in the invite dialog with the two options Member and Admin marked 1](https://docs.nebty-id.com/images/docs/guides/en/add-a-team-member/3-roles.webp)

| Role | What it can do |
| - | - |
| Member | Full access to the brand, but no member management. The Members page is not available. |
| Admin | The same as a Member, plus member management: invite people, change roles, remove members and withdraw invitations. Admins can also create an API key. |

If someone should only get access to the brand, choose **Member**. What Members and Admins can change, for example keywords or takedowns, also depends on the plan of the brand. Brand admins can create their own API key, see [API access](https://docs.nebty-id.com/api/access/).

## Change a role or remove someone

Both actions are in the **Members** table, in the row of the person. They only work for admins.

- **Change a role.** Open the **Role** list (1) and choose **Member** or **Admin**. The new role applies at once, and a message says “Role updated”.
- **Remove a member.** Select the bin icon at the end of the row (2). A dialog asks “Remove member?”. The text (1) names the person who loses access to this brand. Confirm with **Remove** (2). A message says “Member removed”.

Good to know:

- **A brand always keeps one admin.** If you try to demote or remove the only admin, nebty refuses and shows “This is the only admin. Promote another member to admin first.” Make someone else an admin first.
- **Removing is not final.** You can invite the person again at any time, and the removal frees a seat.
- **Some accounts are protected.** An admin of a brand cannot remove a partner or enterprise account that manages the brand. Only nebty or the account holder can do that.
- **API keys stay.** Changing or removing a role does not revoke an API key that the person already created.

## What happens next

The colleague receives an email with the subject “You’ve been invited to” followed by the brand name. The email is currently in English. It names the person who invited them, the brand and the role, and contains an **Accept invitation** button. The link works for seven days, and the email shows the exact expiry time in UTC.

What the colleague does depends on whether they already have a nebty account for that address:

- **With an account:** the link accepts the invitation at once and sends them to the sign-in page.
- **Without an account:** the page **Join** followed by the brand name opens. The email address is fixed, because the invitation is bound to it. The colleague continues with **Continue with Google**, or sets a password of at least eight characters, optionally adds first and last name, and selects **Accept invitation**. After that they sign in.

After signing in, the colleague sees the brand with the role you chose, and the invitation disappears from **Pending invitations**. The person must use the invited address. An invitation cannot be moved to another address.

If the colleague opens the link after it expired, they see “This invitation has expired. Ask the brand admin to send a new one.” nebty has no resend button. Withdraw the old invitation first (the bin icon in step 3), then invite the address again. While the old invitation is still listed, nebty refuses a second one for the same address.
